CLASSIFICATION:                    Building & Safety Project Coordinator       -       (non-exempt)

HOURS:                                   40 hours per week

MINIMUM REQUIREMENTS:

  • High School diploma required.
  • Project Coordination experience preferred.
  • One to three years of clerical experience required. Experience as Permit Technician I preferred.
  • Regular, dependable attendance required.

POSITION SUMMARY:

This is an administrative position with significant responsibility that requires an ability to multi-task, prioritize, work with minimal supervision, strong attention to detail and excellent time management skills to ensure all established deadlines are met in a fast-paced constantly changing environment.  Ensure that construction projects are efficiently delivered through proactive investigation of issues and up to date reporting of project status.  Responsible for initiating proactive solutions to project issues by briefing upper management, coordinating all relevant and historical material and involving key stakeholders in a timely fashion.  In addition to in-person meetings, project coordination requires detailed electronic permit workflow development and review.

The work requires excellent customer service skills and the ability to maintain up to date contacts with a broad network of construction professionals.

RESPONSIBILITIES:

  • Work with project members to understand project scope and objectives and how they relate to all current and upcoming projects
  • Coordinate internal resources on resource planning, availability and allocation according to project pipelines
  • Develop project delivery procedures that are streamlined, understandable and transparent
  • Work with entire team on project deliverables to keep project going according to schedule and assigned tasks
  • Coordinate project management calendars with department calendars on all major construction projects
  • Track and analyze project status and communicate to the management any possible changes to the project scope and schedule
  • Participate in project review meetings to obtain information regarding permitting timeline requirements and relay to the permitting division
  • Produce comprehensive reports and answer stakeholder inquiries on the history of permit, length of workflow process, or pending workflow items
  • Create and maintain comprehensive project documentation for project schedules, meetings, special inspections and project close out
  • Coordinate room rehabilitation matrix or other tracking means for TCO / CO preparation.
  • Oversee TCO / CO requests to ensure work completed matches request and process accordingly.
  • Backup as a Permit Technician
  • Perform or assist with any operations, as required to maintain workflow and to meet schedules and quality requirements.
  • Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, and policies.
  • Perform other related duties as assigned.
