POSITION: Inventory Management and Pharmacy Supervisor

RESPONSIBLE TO: Director of Business Development and Marketing

JOB SUMMARY: Under the supervision of a licensed physician, provide medication and other health care products to patients and consumers. Perform routine tasks to help prepare prescribed medication, such as entering patient demographics, labeling bottles, dispensing medications, and supervising other staff within the medication dispensing area.  Develop and implement inventory control procedures. Maintain constant knowledge of inventory levels, leakage rates, and potential dead stock. Maintain ongoing supplier relationships, negotiate product pricing, and manage ordering from the appropriate supplier ensuring timely delivery of products. Have an influential role in the inventory planning and strategy through the creation of reports on current inventory levels when performing regular counts, development of special reports that analyze the main causes of stock outages, losses, and alert management about any trends discovered. Carry out his/her work in compliance with all federal and state regulations associated with the dispensing of medications from a physician’s office.

 

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Pharmacy Technician certification by the state of FL
  • Advanced Degree or Certification preferred

    QUALIFICATIONS AND EXPERIENCE:

  • Three years of pharmacy experience
  • One year of office management experience
  • Two plus years of work experience in a physician practice (preferred)
  • Experience with inventory management (preferred)
  • Proficient using email and basic computer programs - Microsoft Office (including Excel, Access, PowerPoint and Word), database software, and inventory management software
  • Ability to perform multiple and diverse tasks simultaneously
  • Strong written and verbal communication skills

    Responsibilities include, but are not limited to, the following:

    Pharmacy Supervisor

  • Receive written/electronic prescriptions and process the medication for physicians to verify
  • Ensure information on the prescription is complete and accurate
  • Enter data in EHR, recording all prescriptions, purchase orders, requisitions and disbursements
  • Package and label prescriptions
  • Ensure that the security and proper storage of medications is maintained
  • Respond to simple patient queries
  • Obtain pre authorizations for medications
  • Keep the work environment and equipment clean
  • Supervise and manage medication dispensing staff
  • Communicate with Branch Managers and Medical Assistants regarding medication dispensing protocols
  • Comply with all federal and state regulations
  • Uphold HIPAA regulations
  • Follow facility and OSHA safety rules and procedures

    Inventory Management Specialist

  • Perform regular counts accurately recording the quality, quantity, type, style, and any other characteristics of the inventory so departments have a clear understanding of what is and is not available
  • Monitor stock levels and know when to replenish stock
  • Order, receive and count various products within the organization
  • Oversee inbound and outbound shipments, and investigate discrepancies
  • Develop inventory control processes to help count, examine, move, order, and dispose of stock as needed
  • Use both historical data and customer demand from sales reports and inventory counts to forecast inventory needs
  • Research and evaluate available suppliers in the area who may be willing to provide Orlando Orthopaedic Center with materials and determine the best company to provide the goods needed to operate and be profitable
  • Make recommendations on purchasing stock from vendors, reducing prices to get rid of excess products, and decreasing losses from damaged and missing inventory
  • Create reports when performing inventory counts
  • Develop special reports that alert management about the main causes of stock outages, overages, and losses
  • Submit annual budget reports, ensure financial standards, and resolve issues
  • Maintain detailed knowledge of Microsoft Office and other computer software as it relates to job functions
  • Complete all other duties as assigned by the Director of Business Development
  • Work hours coincide with Orlando Orthopaedic Center’s operating hours (8am to 5pm)
  • Maintain patient confidentiality; complies with HIPAA and compliance guidelines established by the practice

    Typical Physical Demands

    Position requires full range of body motion including handling and lifting boxes, manual and finger dexterity and eye-hand coordination.  Position will at time involve extended standing and walking or extended sitting, some standing, bending, stooping, and stretching.  Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required.  Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.  Employee will occasionally be asked to lift and carry items weighing up to 30 pounds.  Position requires regular travel to various Orlando Orthopaedic Center office locations to manage inventory.
