The Academic Program Specialist II, in collaboration with the Assistant Dean/Campus Director, will work with a high degree of autonomy and independence to manage the student affairs operations and functions of their satellite campus. The primary duties include; academic coordination, campus operations related to student affairs, student development, student services & advising, admissions & recruitment, event management, and community relations.  The incumbent will facilitate the management of courses including the coordination of the academic component, administrative support, and oversight of the courses in close conjunction with faculty and instructional design team to meet course objectives, and outcomes.  Incumbent is responsible for managing TBL (Team Based Learning) sessions, prepare materials for TBL sessions, look over materials from ID team, and suggest improvements/propose possible issues with course materials. The Program Specialist will serve as support in administration and management of courses, and facilitation of student support to include classroom support/management. Assists in collaboration with the faculty to provide smooth delivery of the course, and assistance with students.  Acts as primary liaison for students for questions pertaining to grading, due dates, emails, points of contact, etc.

Student Support and Advising: Responsible for support relating to the delivery of the course with the ability to perform independently with input from the faculty member. This position will serve as the primary liaison for student contact in reference to course logistics on distance campuses. Communicates, and conveys pertinent information to students, providing information as requested including accessing learning materials and directions for assignments. This position requires the ability to provide problem resolution and effective decision-making concerning student issues.   Serves as primary reporting official in compliance with state and federal laws (Cleary Act, anti-hazing, sexual harassment, etc…).  Serves as primary campus designee for referral of student needing additional services.  Manages and monitors campus faculty advising assignments.  Provides referral for students with personal, social and academic concerns that are interfering with satisfactory academic progress.  Act as campus liaison with Registrar and Admissions Office for Student Academic Support System (SASS), Universal Tracking (UT) and the Integrated Student Information System (ISIS). The coordinator will be responsible for training staff to use these systems for advising students.  Develops academic and career advising strategies. Ensures all campus student activities and organizations are in compliance with university and other governing policies (anti-hazing, sexual harassment, equal opportunity, disabilities, etc…).  Establishes and manages communication systems (email, meetings, message boards, public calendars, e-learning, etc…) that supports student organizations and campus activities.  Manages student ambassador program, including annual selection of ambassadors, scheduling events supported by ambassador program, and coordinating ambassador program meetings.  Develop programs for professional development of student leadership. Examples to include, management of Board of Presidents meeting, SOAR, leadership workshops and training sessions that address character formation.

Course Support: Assisting in the management of class sessions for interactive group learning that are part of the blended curriculum.   In collaboration with the faculty, academic coordinators, and instructional design team, assist with the management and delivery of multiple courses, including course content, and other course related materials. Responsible for partnering with the instructional technologies team to get course content delivered/executed.

Campus Operations for Student Affairs: Works with the Assistant Dean to establish campus based workflows, policies, and procedures pertaining to student affairs, which include record keeping, course registration, campus communication, student organizations, leadership development, student conduct, and other various program/curriculum specific requirements impacting students.  Works across the various campuses, college’s units, and leadership to establish long-term and sustainable practices as it pertains to administrative student affairs functions that encompass curriculum, co-curriculum, medical/professional clerkships, admissions, graduation, matriculation, and fiscal practices.  Identifies data, statistical reports, and program results to ensure effectiveness of impact on the college through ongoing evaluation of programs and practices.  Manages and coordinates the scheduling of instructional facilities on campus. Supervises the preparation of classrooms, daily welcome, course changes and events/meetings for each term.  Ensures area’s compliance for inspections, drills, and hazardous waste storage and elimination; coordinates building safety and security training requirements for all new and current faculty and staff. 

Event Management: Responsible for ensuring all programs, activities, and series comply with university, state, and federal regulations (fiscal, facilities usage, risk management, etc…).  Manages and coordinates all campus based special events and ceremonies. This includes managing budgets, executing vendor contracts, managing relationships with event sponsors, and scripting events.  Manages the logistical support for campus based events, conferences and meetings including event set up, marketing and communication pieces, registration, food and beverage and on site services. Reviews and edits various publications in support of events (invitations, web based mobile guides, webpages, directional signage).  Schedules and conducts site visits and selects sites based on event specifications. Executes and coordinates various vendor contracts.  Collaborates across various campuses and college units to oversee College-wide events such as Orientation, Professional Coating Ceremony, Spring Awards and Graduation.

Admissions, Recruitment, and Community Relations:  Responsible for developing and maintaining partnerships throughout the community and University.  Develops and manages a local recruitment plan in support of and collaboration with college-wide efforts. This includes community relations with various public agencies and/or stakeholders.  Visits local schools and agencies to attract students to program by meeting with students and representatives, and participating in special events.  Works in collaboration with Communications Director to impact local recruitment strategy. Manages campus tour program for external and special guests and coordinates student volunteer schedules.  Collaborates with students, staff, and faculty to mobilize active involvement and investment from donors/sponsors and university partners.  Maintains calendars of campus donor sponsored events, manages communication with donors/sponsors, and collaborates with various stakeholders.

Other duties as assigned by supervisor that includes but is not limited to periodic maintenance and updates of forms, and web content. Create and update forms and policies as needed for each program. Assist with student portfolios and document required program activities.
