POSITION OBJECTIVE
The Sales Coordinator is responsible for assisting the sales managers in customer satisfaction, completing all correspondence and maintaining a filing system; typing memos, meeting minutes and other administrative duties.
ESSENTIAL JOB FUNCTIONS
• Provide administrative support to the Group Sales team.
• Functions as the main Receptionist for the Sales Executive Offices.
• Able to coordinate tours and events, as needed, to ensure the smooth and efficient operation.
• Must be able to evaluate and select among alternatives courses of action quickly and accurately.
• Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
• Must have the ability to assimilate complex information, data, etc. from disparate sources and consider adjust or modify to meet the constraints of a particular need.
• Must be able to work with and understand financial information and data, etc, and basic arithmetic function.
• Must work well in stressful, high-pressure situations
• Must be able to convey information and ideas clearly
• Provide inquiry support for both internal and external “clients”.
• Maintain accuracy and orderliness of all files – includes vertical and horizontal filing system
• Generates various reports for both internal and external use.
• Coordinate various tasks on a daily basis including mail distribution, logging all checks received, provide information to callers, compose, type and distribute correspondence, and e-mail.
• Handles common office related duties, including phone coverage, front desk coverage, etc.).
• Assist Sales Manager with blocking space in Delphi/merging contracts and assisting with RFP’s as needed.
• Site Inspection preparation with coordination of showrooms/itinerary as requested by the Sales Manager.
• Must be able to prioritize and multi-task assigned duties and must be a team player.
• Work successfully with operations, reservations and convention services departments who are in the important role of servicing the groups booked by the group sales department
• Fulfillment of all collateral materials for (brochures, etc).
• Contract/Invoice Administration: Log-in and track all group contracts and invoices.
• Assist in credential shipment, mass mailings, email solicitation, etc.
• Coordination of all Federal Express brochure/packages
• Database fulfillment(input of lists /direct mailing/e-blasts)
• Other duties may be assigned as business demands.
EDUCATION/EXPERIENCE
• Must be 18 year of age or older.
• High School diploma required.
• Two to four (2-4) years of experience in a related administrative area is preferred.
REQUIREMENTS
• Knowledge of Power Point, Outlook, Access, MS Word and Excel required.
• Knowledge of Delphi is required. SMS knowledge required
• Provide office support to several managers at a time; work in a fast pace environment
• Communicate effectively with customers in a friendly and positive manner.
• Familiarity of hotel property, structure and departmental interaction.
• Ability to read, listens, write and verbally communicate effectively in English
• Be able to work in a hot, cold, wet, humid and loud environment for long periods of time.
• Be able to work in a standing and mobile position for a long period of time.
• Be able to reach, bend, stoop and lift up to 50 lbs.
