SUMMARY

The Accounts Payable Specialist is responsible for accounts payable administrative functions. This will include managing the full accounts payable cycle, maintaining client vendor data, an understanding of IRS 1099 compliance and reporting, an understanding of Cru’s internal financial policy and the processing employee expense reports.

Essential Duties and Responsibilities

• Provide customer service via telephone, email and in person to provide information to staff, supervisors and vendors and to resolve problems related to purchasing, tax information and accounts payable, abiding by all internal and IRS guidelines.

• Perform accounts payable duties with accuracy and timeliness to assure that positive business relations with vendors are maintained.

• Provide accurate data entry for requests for payments and general ledger coding as needed to all vendor disbursement activity for multiple entities. Able to key a minimum of 400 vouchers a month within a given accuracy rate.

• Analyze employee expense reports to ensure receipt of employee personal expenses incurred on corporate purchasing cards.

• Set up and maintain 1099 vendors and perform TIN-matching, including the collection of W-9 forms.  Produce and mail year-end 1099 forms for all vendors in compliance with IRS rulings.

• Maintain a detailed knowledge of the systems and processes in Accounts Payable in order to provide back-up for Payments Team Leader (supervisor) as needed.

Knowledge of

• 1099 process of compliance and reporting

• IRS guidelines as it relates to 1099s  

• Thorough understanding of general accounting entries associated with Accounts Payable.

• Intermediate proficiency of Microsoft Office Products with a strong emphasis on Microsoft Excel.  

• Strong organizational skills 

• Strong written and oral communication skills. 

• PeopleSoft Financials (FSCM) or equivalent 

• Corporate financial policy

Education and/or Experience

Associate degree plus at least 3 years of experience. Or an equivalent combination of education and experience
