Job Description:

The OPS Project Coordinator position, under general supervision, assists in planning, coordination, managing, and reporting for the UCF IT Project and Planning Office. Assists in determining business requirements as directed. Serves as primary contact for the UCF CIO and other members of senior leadership. Maintains project plans, tracks progress, and prepares project update reports. May resolve project issues with appropriate personnel. Provides coordination and general assistance for department tasks such as data review, reconciliation, portfolio reporting, and other activities to support the work required for timely and accurate completion of short-term, temporary projects for the UCF IT Project Management Office (PMO).  

ESSENTIAL POSITION FUNCTIONS:

  • Serves as a primary liaison between the UCF IT Project Management Office and the office of the UCF CIO.
  • Maintain professional working relationships with other departments, groups, and personnel with whom work must be coordinated.
  • Assist UCF IT Associate Director, Project and Planning Manager, and Project Managers on assigned projects. Assists in providing administrative support in one or more of the following areas: change management, configuration management, performance analysis, physical planning, ITIL Service Management, technical standards, procedures, and product evaluations.
  • Prepare project update status reports. Summarizes work plan status and updates. Arrange and acquires resources to assist the project manager and group.
  • Track the progress of projects by monitoring and reporting task completions to Project Manager(s) and updating schedules as appropriate.
  • Monitor and identify deviations of project task completions and original budget allocations and schedules.
  • Advise project leadership of project delays.
  • Assist with the successful planning, development, and delivery of technology and related projects.
  • Provide project management support for technology projects as directed.
  • Provide general support to the project team and department.
  • Assist with documentation of business requirements, creation of test plans, and coordination of testing.
  • Assist with ensuring that project deliverables meet requirements and user needs, satisfying business objectives and initiatives.
  • Assist with planning, tracking, and monitoring project progress from initiation through implementation to ensure successful delivery of products and/or services within the timeline, budget, scope (value), and quality.
  • Coordinate resources and assist with the creation and execution of project work plans to help deliver projects on time and on budget while meet changing needs and requirements, as assigned by the Project Manager.
  • Meet professional obligations through efficient work habits such as meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner. - Demonstrate respect for others.

20 hours per week between 8:00 AM-5:00 PM; Specific hours as required by duties and approved by a manager.

Minimum Qualifications:

Bachelor's degree and 3 years of experience in a related field, or equivalent combination of education and experience.

Preferred Qualifications:

  • Ability to meet deadlines and handle diverse tasks simultaneously using prioritization.
  • Strong verbal and written communication skills.
  • Strong analytical and organizational skills.
  • Knowledge of Microsoft Office Suite products (Word, Excel, PowerPoint, Outlook).
  • Knowledge of project management methodology and software tools.
  • Strong collaboration skills.
